Sign-In Process

To meet insurance requirements, each club must have at least one PTSA member present. Here's how registration works:

  1. Sign Up: Parents fill out their info, choose volunteer slots, and sign the waiver via the registration link. If spots are full, you can join the waitlist—PTSA will notify you if a spot opens up.
  2. Volunteer Deadline: Each class needs a PTSA volunteer confirmed 10 days before the first session.
  3. Confirmation: Once a volunteer is secured, PTSA will email to confirm the class is officially open.
  4. Payment: Parents submit payment, and the fun begins!
  5. No Volunteer, No Club: If no volunteer signs up, the club won’t run that session.

 

Volunteer Responsibilities

Volunteering is simple and appreciated:

  1. Help with student check-in and check-out, and escort children to the restroom if needed.
  2. You’re welcome to bring a laptop or work materials during your shift.
  3. Each family is encouraged to volunteer at least one hour per session, if possible.

 

 Payment Process & Refund Policy

To meet insurance requirements, PTSA collects all club payments from parents and pays vendors directly. With nearly 20 clubs at Smith, it’s a big job—and we truly appreciate your support!

Please note: Once payment is made and your child is confirmed in a class, refunds are not available. We kindly ask that you make your decision carefully before submitting payment.

Class Cancellation and Make-Up Classes

    1. An individual class may be cancelled due to weather or unforeseen circumstances. Cancellations will be brought to the attention of all the participants as soon as possible, and a make-up class will be arranged if possible. There are no make-up classes for students who are absent from class.
    2. If a scheduled volunteer does not show up on any class day, the class will be canceled for that day, and I understand there is no make-up class and no refund.

 

 Student Attendance and Behavior

    1. Please ensure your child arrives on time for each class and is picked up no later than 5 minutes after the class ends (for after-school programs).
    2. Remind your child to follow the teacher’s instructions, behave respectfully, and stay engaged during class.

 

Drop-Off and Pick-Up Guidelines 

Drop-Off (Before School Clubs):  Parents or guardians are responsible for their child until the club volunteer takes attendance. Kids may be dropped off at the front of the school, but PTSA and school staff are not responsible until sign-in is complete.

Pick-Up (After School Clubs): Pick up your child within 5 minutes of class ending. Only authorized adults may pick up. Please list them on the registration form or email the club teacher. Kids 10 and older may walk or bike home if approved on the form.
